Selling

An invoice that is right, and that gets paid.

Write a quote, let your customer approve it online, and turn it into an invoice in one click. VAT, numbering and currency take care of themselves, and your customer can pay straight from the message.

Quote, approval, invoice.

You write a quote with the same lines as an invoice. Your customer gets a link, reads it in their browser and clicks approve. That approval is recorded with a timestamp and IP address, and the quote then becomes an invoice in one action without you retyping anything.

  • Online view with an approve button
  • Recorded approval with date and time
  • Validity period and automatic reminder
  • From quote to invoice without retyping

Your house style, not ours.

Pick one of the three built-in document styles and drop your logo in, or upload your own header and footer image. If your designer made you letterhead, put that PDF underneath the document as a page background. What your customer opens looks like your company.

Getting paid is the point.

Put a payment link from your own Mollie or Stripe account in the invoice. Your customer pays the way they are used to, the money lands in your account, and the payment finds its way to the right invoice on its own.

  • Payment link from your own Mollie or Stripe account
  • Reminders with an escalating tone
  • Outstanding items and ageing analysis
  • Partial payments and credit notes

Invoices that come back on their own.

A subscription, a service contract, a monthly retainer: you record it once and Readybooks creates the next invoice on the agreed date. You choose whether it goes out automatically or waits for your approval.

Electronic invoicing without the fuss.

More and more clients ask for an electronic invoice instead of a PDF. Readybooks also produces a UBL 2.1 or Peppol BIS 3.0 file for every invoice, which you send along or upload in your customer's portal.

Frequently asked questions

Can I invoice in another language and currency?

Yes. You set the document language per customer and the currency per document. The invoice is written in your customer's currency while your books stay in your base currency. The rate on the invoice date is stored with eight decimal places, and the exchange difference on payment is posted automatically.

Can I still change an invoice I have sent?

You do not change a finalized invoice; that is exactly what makes it trustworthy. You issue a credit note that refers to the original and then a new invoice. Both you and your accountant can see later what happened and why.

How are my invoices numbered?

Each administration and each document type keeps its own sequence, with a prefix you choose. Numbers come from a locked database row, so two people creating an invoice at the same moment never get the same number and no number goes missing.

Can I bring my existing invoices with me?

Yes. Outstanding items, customers and historical invoices come along when you import from Moneybird, WeFact, Exact Online or e-Boekhouden, or through CSV. You pick the cut-over date yourself.
