Creating an account and signing in

Readybooks works with passkeys instead of passwords. When you create your account your device asks for your fingerprint, your face or your PIN, and stores a key that only works on readybooks.money. So there is no password to leak or guess, and phishing does not work.

Sign in on a second device and you create an extra passkey there. You can have as many as you like and revoke each one separately.

  1. Go to readybooks.money and choose Get started.
  2. Enter your email address and confirm through the link you receive.
  3. Create a passkey when your device asks for it.
  4. Add an extra passkey later on every other device.

Setting up your first administration

An administration is the environment of one company: one base currency, one set of tax rules, one number sequence, one ledger. When setting it up you choose your company name, your country, your base currency and the first day of your financial year.

Watch the base currency: you cannot change it later, because your whole ledger is built in it. If you want to book in another currency, you create a second administration.

  1. Fill in company name, address and your VAT number if you have one.
  2. Choose your country; the tax rules follow that choice.
  3. Choose your base currency.
  4. Set the first day of your financial year.
  5. Put your logo in the document style or upload your own letterhead.

Sending your first invoice

Add a customer with address, country and the language their documents should be in. Then create an invoice, fill in the lines and pick the VAT rate per line. Numbering and VAT take care of themselves.

Before you send, you can look at the online view exactly as your customer will open it. After sending, the invoice is final: it cannot be changed, and you correct it with a credit note.

  1. Add the customer with country and document language.
  2. Create a new sales invoice and fill in the lines.
  3. Check the VAT per line and the total under the double rule.
  4. Look at the online view.
  5. Send, with a payment link if you like.

Several companies under one login

You can create as many administrations as you need. They are separated in the database: no customer, invoice or entry runs together. Switching costs one click.

You pay per administration. An accountant you invite can reach several administrations, costs nothing and never counts towards your user limit.

Adding colleagues and choosing roles

You invite someone by email address and pick their role at the same time. The role decides what they see and may do: from only writing hours on their own projects to running the whole set of books.

The Bookkeeper role is meant for your accountant. It is free and never counts towards your user limit.
