Inviting someone, choosing roles, locking periods and closing the year.

Inviting your accountant

You add your accountant by email address and pick the Bookkeeper role. They get an invitation, create an account with a passkey and they are in. The account is free and never counts towards your user limit.

If you want to end the arrangement, you remove the access in one action. What they did stays visible in the audit log.

  1. Go to the settings of your administration.
  2. Choose Invite user and enter their email address.
  3. Choose the Bookkeeper role.
  4. Send the invitation.

What may the Bookkeeper role do and not do?

May: post entries, match payments, manage the ledger, calculate VAT and pull the summary, keep assets and depreciation, run reports, lock periods and financial years, and pull the audit file in XAF.

May not: send invoices on your behalf, manage users and roles, change the subscription or delete the administration. Those actions belong to the owner.

Locking a period or financial year

As soon as a VAT period is filed or a financial year is closed, you lock it. After that nothing can change retrospectively, not even by accident.

If something still has to be corrected, you post that correction in the current period with a reference to the period it belongs to.

Pulling the audit file and the year figures

The audit file in XAF you pull in one action, over the period you choose. Balance sheet and profit and loss are ready with a comparison column and can be clicked through to the entry and the evidence.

If you want everything, export the full administration in JSON. That is possible after you cancel too.
