Getting your bank transactions in

There are two ways. The first is a file: almost every bank produces CAMT.053 or MT940, and otherwise a CSV whose columns you map yourself. The second is a direct read-only connection, available for bunq and Mercury, followed by Revolut Business, Starling and Monzo.

Whatever the source, the transaction looks the same in Readybooks. A file you import twice by accident does not produce duplicate lines: transactions are recognised by their unique reference.

  1. Download the statement at your bank or set up the connection.
  2. For a CSV, choose which column is which field; that choice is remembered.
  3. Check the number of new transactions after importing.
  4. Match the payments to their invoices.

Can Readybooks make payments from my account?

No, and we do not request those rights. Every bank connection is read-only. An accounting package only needs to know what happened; it does not need to be able to do anything with your money.

For outgoing payments Readybooks produces a SEPA payment file with the amounts, counter-accounts and payment references from your purchase invoices. You upload that file at your bank yourself, where you also approve it.

Matching payments to the right invoice

For every transaction Readybooks looks for the document it belongs to, by payment reference, amount and counterparty. What is certain is matched; what is doubtful is put to you with the possible candidates alongside, so you choose rather than search.

Partial payments, overpayments and payments in another currency all come along. With a foreign currency the exchange difference is posted separately.

Posting recurring debits automatically

For costs that come back every month you write a posting rule on the description, the amount or the counter-account. From then on such a transaction is booked to the right category straight away.

Rules apply per administration and can always be reversed. A private-use share can be split off within the same rule.

Processing receipts and purchase invoices

Each administration has its own email address. What your supplier sends there arrives as a purchase document with the PDF as evidence. Loose receipts you photograph from your phone the day you get them.

Receive an electronic invoice in UBL or Peppol and the lines are read in rather than retyped. The evidence stays attached to the entry and travels with your export.
